It is distinct from a document management system (DMS): a DMS stores and organises files, while SmartDocTO reads each document, extracts the fields, validates them, runs configured approvals, and delivers structured data to downstream systems. It is also distinct from plain OCR: extraction returns named fields with a per-field confidence score (0 to 100), not raw text. ## What SmartDocTO does - Multi-provider AI document extraction with a confidence score (0 to 100) per field. A configured processing model can use OpenAI, Anthropic, Azure AI Foundry, or AWS Bedrock; the selected provider depends on the deployment and contract - Rule-based approval workflows with multiple approvers, conditional routing, decision deadlines, overdue status, and manual delegation - No silent auto-approval: approval always requires an explicit human decision (validation gates can auto-reject, never auto-approve) - Validation rules can check extracted fields before approval and delivery - Inbound channels (4): web upload, external upload link, REST API, email (OAuth delegated or Microsoft Graph application-only with admin consent) - Outbound delivery (3 methods): REST API push as structured JSON to a configured endpoint, SFTP file drop as JSON or CSV, and SharePoint/OneDrive file drop - No native ERP connector: integration with a specific accounting system (DATEV, Lexware, SAP, NetSuite, QuickBooks) is handled via that system's import interface or via middleware over REST/SFTP - Custom document templates per document type - Duplicate detection compares a file fingerprint - External approvers receive an invitation and use a restricted account, not a one-off approval link. A human still confirms whether the work was actually performed - Construction: invoices, work-completion schedules, and handover records can be extracted and grouped. Technical acceptance of completed work remains a human responsibility - E-commerce: the documented scenario covers incoming supplier documents, not customer-order management, warehouse operations, marketplace payouts, or payment reconciliation - Manufacturing and logistics: related invoices, purchase orders, and delivery notes can use matching keys and group-scoped validation.
